Paperwork for a new baby in Germany

A new baby comes with forms. These are the ones asked of new parents in Germany, in the order they come, each from the official page that sets it. Read it together or on your own: every step says who usually does it.

In short

  • 5 steps before the birth and 5 after it, each one taken from an official page.
  • Registering the birth: within one week.
  • Each step says who usually does it: the parent giving birth, the other parent, or either of you.
  • No amounts here: they change every year and depend on income. The official page under each step has today’s figure.

What to do before the birth in Germany

Start looking at Kitas

When: Around weeks 20 to 28

Who: Either of you, or together

From the first birthday your child has a legal right to a place in a Kita or with a childminder (Kindertagespflege). Look at Kitas near home or work early; the Jugendamt informs you about places.

What the official pages say

Arrange maternity leave with work

When: Mutterschutz starts 6 weeks before the due date

Who: The parent giving birth

In Germany the Mutterschutz runs from 6 weeks before to 8 weeks after the birth, 12 after a premature or multiple birth. Apply for Mutterschaftsgeld at your Krankenkasse as soon as you have the doctor’s or midwife’s certificate of the due date.

Arrange the partner’s leave with work

When: 7 weeks before the due date

Who: The other parent

Elternzeit is announced to the employer in text form, an email is enough, at least 7 weeks before it starts. To start at the birth, that means 7 weeks before the due date. Elterngeld is applied for separately after the birth.

Register for a Kita place

When: Around weeks 28 to 34

Who: Either of you, or together

Apply early for the place you will need. Your Land may require you to tell the Jugendamt a set time before you need it, so ask yours how and by when.

Not married? Recognise the baby before the birth

When: Before the birth

Who: Either of you, or together

The Vaterschaftsanerkennung can be made before the birth at the Jugendamt, the Standesamt or a notary, with the mother’s consent. The Sorgeerklärung for joint custody can also be made before the birth, at the Jugendamt or a notary.

What to do after the birth in Germany

Register the birth

When: Within one week

Who: Either of you, or together

In Germany the birth must be reported to the Standesamt of the place of birth within one week. After a clinic birth the clinic reports it; ask there which documents the Standesamt needs from you for the Geburtsurkunde. After a home birth, you report it.

What the official pages say

Add the baby to your health insurance

When: First weeks

Who: Either of you, or together

With statutory health insurance, the baby is covered free of charge through the Familienversicherung: register them with your Krankenkasse. If both parents are privately insured, the baby needs its own policy.

Choose a Kinderarztpraxis

When: Before the U3 (week 4 to 5)

Who: Either of you, or together

Choose a paediatric practice before or soon after the birth. The U3, in week 4 to 5, is usually the first check at the practice. Keep the Gelbes Heft, the yellow booklet every family gets after the birth, and bring it to each U-check.

Questions parents ask

How much will we get?

This page does not say, on purpose. Amounts change every year and depend on income and work, and a wrong figure is worse than none. Each step links the official page that has today’s amount and the rules for your case.

Is this legal advice?

No. It names each step, who usually does it, where and by when, as the official pages put it. Your own case can differ: your employer, your registry office or the office named on each page has the last word.

Does this apply if I am doing it on my own?

Yes. The steps are the same together or on your own. A step marked for the other parent, such as their leave, only applies if there is one.

How current is this?

Each step links the official page it was read on. Where a step rests on a sentence we re-read every week, the date it was last read is under it, and if the official page changes the step says it is being re-checked instead.
